Frequently asked questions about shared network drives

You can check the available space on your shares using the following method:

Open a command prompt


 

Type the following command in the command prompt: fsutil volume diskfree \\files.ugent.be\username\shares\sharename Replace 'username' with your username and 'sharename' with the name of the share for which you want to see the available space.

Any UGent staffmember who is user of a share can add new users or remove users on that share. 

Use the DICT self-service tool for this : https://dict-selfservice.ugent.be/
The modifications are processed and active several times per half day.

If there is a local ICT contact in your department this person can also do this task.

You can reach the network drives in 2 ways:

1) in the explorer app (file explorer) on athena. This is the simplest way for non-UGent devices.
For the use of athena see the guidelines at:

2) in your local explorer app (file explorer). If you are not connected to the UGent network, you will also need a UGent VPN connection (the cisco app).

If you get the message when saving new files that there is not enough space left, you can ask to increase the storage space.

Send an email at the website https://helpdesk.ugent.be/helpme/en/
Request for an increase in storage space. 
Make an estimate of the necessary space for the coming year. 
Motivate the request for extension and do not forget to mention the share name.

There are back-ups enabled (snapshots). These snapshots consumes also storage space.
So if you delete data today only after 3 months this will have effect on the available storage space.

Mac users who recently updated their device to the latest version of macOS, version 14.0 (Sonoma) are reporting problems browsing network shares.

There appears to be a bug in Sonama (14.0) that prevents Distributed File System (DFS) support in that version.

We therefore recommend postponing upgrading to Sonama for now in the hope that this issue will be fixed soon in one of the next point releases.

Update: Meanwhile, macOS Sonoma 14.1 is available that fixes this problem.

There is a problem with Apple OS Sonoma tho access networkshares see https://forums.macrumors.com/threads/macos-sonoma-smb-dfs-broken.2405434/

the workarround is use 

smb://files.ugent.be/your_username/your_share_name

Make sure to replace "your_username" with your actual username and "your_share_name" with the name of the share or folder you want to access.

other option is use the file explorer in Athena

While mounting network drives, when logging on to files.ugent.co.uk, use your username prefixed by "UGENT\", so e.g. "UGENT\jpeeters".

The old way, with prefix "FILES\", also currently works but this legacy support will be discontinued at the end of February 2024.

Did you previously use that prefix and saved your login details? If so, you will have to log back in when mounting your shares after the end of February 2024. Make sure to use the "UGENT\" prefix then.

Issue with File Sharing in macOS

There is a known issue with file sharing in macOS. For more details, see: https://lists.samba.org/archive/samba/2025-March/251261.html.
A workaround is available until a permanent fix is released:

  1. Open Finder.
  2. Press Cmd + K.
  3. Enter one of the following addresses, depending on your needs:
  • For your personal home directory:
    smb://files.ugent.be/<uid>/home

  • For shared folders:
    smb://files.ugent.be/<uid>/shares/<sharename>

  • For web-shared folders:
    smb://files.ugent.be/<uid>/www/shares/<websharename>

Replace <uid>, <sharename>, and <websharename> with your own information.

If this method does not work for you, we recommend using the File Explorer in Athena as an alternative.
